OCV uses Zoom for all meetings. We start meetings on time; we don’t wait for “quorum.” Standard meeting lengths are 25 and 55 minutes. Please turn on the the speedy meetings to automate this.

We use agendas to document all meeting conversations, both internal and external. Every meeting must have a standard formatted agenda attached to the calendar invite. Add the agenda link to the invitation description as a full URL for maximum accessibility. For clarity and consistency, do not include any other agenda formats or allow them to be auto-populated alongside the URL.

We use two agenda types:

  1. Public agendas are entered as Agenda: URL agenda link
  2. OCV Internal agendas are entered as OCV internal notes only: URL agenda link

Verify that all invitees can access the agenda document. Since access permissions often depend on the document's stored location, check both the document's location and access settings.

OCV Company meeting events

OCV Company event titles should include the title of the company. For example:

  1. Individual Office Hours are entered as OH: "Company Name"
  2. Group Office Hours are entered as OCV GOH: "Company Name"

Founder outreach meeting events

This is for scheduling meetings with potential new company founders where we are exploring the opportunity (offer hasn’t been made or accepted)

External meetings (vendors, contractors, etc.)

Use Calendly to schedule meetings with external participants.

External meetings also require an agenda. This practice ensures a historical record of vendor and partner conversations for future reference. Let the vendor know about OCV's meeting agenda policy and ensure they have access prior to the meeting. If the external party provides the calendar invite, ask them to add the agenda link to the invite.
